We are seeking a Team Support professional for a 12-month contract to provide essential administrative and operational support within a shopping centre. Working closely with the Operations Manager, you will assist with reception duties, office support, pop-up store coordination, and residential apartment administration, ensuring seamless operations across all areas of the centre.
This diverse role involves managing reception, general office administration, coordinating services for retail tenants, and supporting residential and operational needs to maintain high standards of service for tenants, residents, and customers.
Key Responsibilities:
✅ Reception & Client Management – Greet clients and customers, manage incoming calls and emails, and handle lost property items.
✅ Office & Retail Support – Assist with admin tasks, maintain retail data, process accounts payable, and liaise with tenants regarding maintenance and cleaning needs.
✅ Pop-Up Store Coordination – Cold call local businesses for pop-up display opportunities, manage the event calendar, schedule bookings, and prepare leasing agreements.
✅ Apartment Car Park & Residential Support – Respond to resident inquiries, manage parking licenses, prepare invoices, and follow up on arrears.
✅ General Administration – Upload insurance certificates, attend weekly operations meetings, manage stationery ordering, and assist with contractor management.
✅ Operations Support – Investigate parking issues, prepare work orders, and provide general email and system support for operational functions.
About You:
✔️ Experience in administration, customer service, or retail support roles.
✔️ Strong organisational and multitasking abilities with a keen eye for detail.
✔️ Excellent written and verbal communication skills.
✔️ Proficient in Microsoft Office Suite; experience with Cirrus 8 or similar systems is a plus.
✔️ Ability to prioritise tasks and work effectively under pressure.
✔️ Customer-focused with a problem-solving mindset and the ability to work independently.
