Smartsheet PMO Analyst:
Join one of our clients in the Government and Essential Services space as a PMO Analyst. This is a PART-TIME contract opportunity based in Burwood near Flagstaff Station.
Some key responsibilities:
Assist the P&C Program Manager in redesigning, integrating, and automating progress and operational reporting for multiple stakeholders.
... - Define use cases and requirements for technical solutions that are tailored to the needs of the business, ensuring measurable improvements that support better decisionmaking across the Portfolio, Program, and Project levels.
- Assess current, future, and desired Smartsheet requirements, and develop integrated solutions to enhance data accuracy, quality, and reporting.
- Create and document Smartsheet processes and procedures to help the team maximize the platform’s potential.
- Leverage advanced Smartsheet functionality to design business solutions that improve decisionmaking at the strategic Portfolio, Program, and Project levels.
- Develop and implement portfolio structures for projects related to Culture Review, VLD, D&I, GEAP, WWCC, Child Safety, and BAU.
- Identify and map interdependencies between systems within the portfolio.
- Coordinate and calibrate system interconnections both internally within the portfolio and externally with other systems (noting that interconnect requirements will affect the scope of work; suggest using a minimal viable product approach and incremental improvements to assess ROI).
- Redesign and integrate multiprogram and multiproject structures within Smartsheet, building on the current framework.
- Streamline data collection processes across the portfolio of work.
- Design and implement portfolio, program, and project dashboards to improve data quality and support datadriven decisionmaking.
- Automate and develop reports tailored to stakeholders’ needs.
- Provide ongoing support to the Portfolio Manager and team by delivering timely progress reports and updates for the programs you manage.
- Evaluate and establish mechanisms for ongoing BAU data collection (e.g., integrating Excel data into Smartsheet).
- Enable Smartsheet automation features, including reminders and updates.
- Ensure compliance with the Program Management Framework (PMF) across the portfolio, program, and project levels.
- Document system design logic to ensure longterm system maintenance and scalability.
- Identify and train Smartsheet Champions within P&C to maximize the tool’s value and functionality.
- Gather feedback to continuously improve systems and processes, ensuring ease of use and driving higher adoption.
- Provide coaching and training to the P&C Portfolio, Program, and Project Management teams to ensure scalable project delivery in alignment with CFA’s Program Management Framework.
- Integrate multiple Smartsheet portfolios, programs, and projects into monthly reporting for relevant stakeholders such as Portfolio Managers, Program Managers, Project Managers, and Senior Responsible Officers.
- Build realtime collaboration links to related Projects, Programs, and Portfolios.
- Develop business intelligence and automated reporting in Smartsheet.
- Streamline workflows and reporting across related programs and projects.
- Program and configure Smartsheet automations and alerts, linking them to MS Outlook to trigger status reporting for stakeholders.
- Ensure P&C Programs and Projects are streamlined for automated, regular reporting.
- Undertake other duties as required.
Key Selection Criteria:
- Proven experience in large complex organisational transformation applying best practice Project Management practices, Portfolio Management, Executive reporting and Workflow creation.
- Proven experience to conduct, capture, design, build and educate Program Management Office implementations and
- supporting processes.
- Project management qualifications/Certification in PRINCE 2, PMBOK and Agile Project Management methodologies are essential.
- Smartsheet advanced suits of tools experience in leading Portfolio, Program and Projects.
- Proven success, leadership and experience in the establishment of Program Management Office functions.
- Advanced Excel skills are essential.
- Advanced Smartsheet skills of the entire suite of functions, including coding is essential
- Hold a valid Working with Children Check.
