About the Role:
We are seeking a highly motivated and efficient Facilities Manager to join our team at a prominent medical centre in Adelaide. This is a fantastic opportunity to play a crucial role in supporting the delivery of facilities maintenance services across a significant health portfolio. As the first point of contact, you will be instrumental in liaising with both internal and external stakeholders. This is a maternity leave cover position with a possibility of permanency for the right candidate!

Key Responsibilities:
- Provide onsite support to the broader health team.
- Gather, enter, and update data to maintain relevant records and databases.
- Create, prepare, and deliver reports.
- Organise meetings and meeting schedules.
- Act as the primary liaison between operational delivery and support functions within the contract.
- Provide support/coverage during absences of relevant team members and the Operations Manager.
- Manage client/contractor interface, including sign-ins, key/swipe access distribution, parking permits, site works permits, and contractor compliance processes.
- Conduct daily key/card audits.
- Monitor high-priority work orders and provide feedback.
- Follow up on outstanding breakdowns and rejected/disputed work orders.
- Manage shared digital files.
- Prepare and distribute meeting minutes.
- Allocate projects through relevant systems.
- Generate monthly/annual reports (e.g., Infection Control Quality & Testing Report, Food Services report, compliance documentation).
- Perform general administration tasks, including stationery orders, stock control, and shared email inbox management.
Mandatory Qualifications and Experience:
- Minimum 3-4 years of experience in facilities management.
- Intermediate administrative skills and proficiency in MS Office and other systems.
- Trade background is preferred.
- Highly efficient and a quick learner.
- Project management exposure and strong administrative skills.
Essential Requirements:
- Police check and Working with Children Check (WWC) are mandatory.
- Australian Citizenship preferred; open to visa holders with full working rights.
