Our client is currently looking for an experienced Executive Assistant to assist with parental leave cover for 6 months, commencing August 2024
This position will be based in Northcote, Melbourne full-time. This position does not have WFH flexibility, office based only, Monday to Friday 9am till 5pm
You will have:
- Previous experience as an Executive Assistant
- Calendar, financial and travel management
- SAP experience preferred
- Experience in providing assistance to multiple Managers at any given time
- A professional phone manner and clear and precise communication skills
- Experience in preparing and reports on company marketing
- Management of mail
- Coordinating leadership meetings, minutes and agendas
- Assistance with presentations
- Intermediate to advanced user with Microsoft PowerPoint, Outlook & Excel
Key responsibilities:
- Reports to the Director of Health and Wellbeing
- Prepare and co-ordinate effective meetings (face to face and electronic), including preparing
- meeting agendas, papers, minutes, action lists
- Develop briefing papers, reports, registers, tracking tools, team communications, resources,
- processes and procedures, induction materials and other documentation as required
- Proofread and format documents and presentations
- Manage diaries including scheduling, negotiating appointments and meetings
- Manage travel arrangements
- Prepare and balance credit card reconciliations for HWB staff Provide hospitality to visitors as required
- Prepare and distribute electronic communications and announcements
