Operating within a dynamic and complex environment, the Executive Assistant works independently to prioritize competing demands, fostering strong relationships with external stakeholders, including government agencies and public and private sector representatives.
Key responsibilities:
- Providing professional administrative support to include diary management, coordination and control of meetings, agendas.
- Provide administrative support regarding sensitive and complex issues including researching and analysis, drafting responses and modifying and applying new concepts to new situations that may impact beyond the immediate work area.
- Coordinate calendars, resolving conflicting priorities with astute political, organisational, and stakeholder management acumen, ensuring alignment with key relationships and business objectives.
- Ensure executives are prepared for meetings by delivering comprehensive attendee and meeting details, proactively gathering and distributing relevant materials within defined timeframes, and actioning items or providing input.
- Coordinate office processes, including approval workflows, Minister briefings, committee and cabinet materials, and ensure governance in relation to filing and records management.
- Cultivate and maintain effective relationships with internal and external stakeholders at peer and senior levels to understand stakeholders needs and identify areas and opportunities for improvement.
- Operate with high integrity and autonomy in managing incoming correspondence and queries, offering timely advice, allocating or escalating issues for resolution, and ensuring appropriate and timely follow-up.
- Actively contribute to a positive, open, delivery focused culture that values and supports others, and has an approach based on collaboration, achievement and challenging the status quo.
To be successful:
- Demonstrated experience in high quality administrative services to a high-level executive stakeholder in a complex, fast-paced environment, with a proven ability to quickly understand organisational objectives, stakeholders, polices and processes.
- Ability to collate and prepare reports, briefs and correspondence, ensuring an established proficiency
in professional correspondence, document preparation, and administrative systems ensuring accuracy
and attention to detail. - Ability to undergo relevant checks.
