Randstad is proud to partner with a prominent state government agency to recruit an experienced and proactive Executive Assistant/Officer manager on a temporary basis. Located between Sydney CBD and Parramatta, this role offers a dynamic and rewarding opportunity to support senior executives in a fast-paced environment.
Key Responsibilities:
- Support the CEO in the coordination of effort and strategic planning across the business uni, providing support on initiatives and strategic projects as required.
- Manage and coordinate the development and implementation of mechanisms for improving the business unit performance, including administrative system and process improvements.
- Provide administrative support to the CEO, including management of their calendar, scheduling of meetings, preparation of travel arrangements, and serving as the primary point of contact between the CEO and external stakeholders.
- Provide administrative assistance to support the operation of the business unit through tasks such as the drafting of correspondence, the preparation of reports, and the handling of confidential documents.
- Facilitate the operation of the Board following appointment of its members through various supporting actions such as organising board meetings, taking minutes and following up on action items.
- Coordinate with the finance team to effectively manage office budgets, expenses, and invoicing in a timely manner.
- Manage the day-to-day operation of the business unit office, ensuring the proper maintenance of the equipment, supplies, and the office itself.
Challenges:
- Ensuring that the interim team is properly equipped to carry out their responsibilities effectively during the establishment phase and beyond. This may prove challenging as the business unit is a new corporation and does not have an existing foundation for procurement and onboarding.
- Balancing the dual responsibilities of this role, serving as both an Executive Administrator which supports the CEO, the Board and wider executive team, and an Office Administrator which handles the day-to-day management activities of the office.
- Balancing the responsibility of providing administrative support to the CEO, the Board and wider executive team.
Ideal Candidate:
- Tertiary qualifications in a relevant administration, management, or related field are preferred.
- Extensive experience in providing confidential, administrative and business support to a Board and/or executive team, including supervising an administrative support team.
- Strong organisational skills with the ability to multitask and prioritise work effectively.
- Excellent written and verbal communication skills
