If so, our local council client has an exciting opportunity for you in their Arborist Scheduling team.
This challenging yet rewarding role will see you providing crucial administrative coordinative support to our operational field crews, technical officers, and contract service providers, ensuring the smooth and timely completion of a diverse range of arboriculture work. You will be instrumental in optimising our service delivery, particularly in managing high work volumes and contributing to efficient resource allocation.
In this role, you will:
... - Provide specialised administrative and coordination services, including budget and planning support, preparation of strategic documents, and efficient information management.
- Draft a variety of documents, including briefs, reports, advice, and correspondence.
- Contribute to business improvement initiatives, leveraging your problem-solving skills.
- Develop and implement process solutions to enhance our business management system.
- Establish and maintain strong working relationships with internal and external stakeholders to achieve positive outcomes.
- Ensure contractor compliance with Council policies and regulations.
- Allocate and prioritise work schedules to ensure key performance indicators are met.
- Coordinate responses to natural disasters and manage the resulting influx of urgent work.
- Provide advice and support to technical officers and contractors.
- Ensure accurate and efficient data input into relevant systems for timely reporting and statistical collation.
- Generate various reports, including budget, work volume, and contractor management reports.
- Utilise a range of internal systems and software packages, including the MS Office suite, SAP, City Web, Ellipse, and Gecko. (Experience with decommissioned GBM and WOSAD for historical checks is advantageous).
- Perform scheduling and administrative tasks in line with the ARB Scheduling Team.
- Enrich SAP Notifications to facilitate their progression to Technical Inspection.
- Process completion reports of Work Orders from contractors (from Invoice/Completion report to Confirmed status in SAP).
- Administer the initial receipt of new Notifications and manage the complete Work Order lifecycle within SAP.
To be successful in this role, you will possess:
- Proven experience in a coordination or administrative role, ideally within a technical or operational environment.
- Essential: Demonstrated SAP experience with a strong understanding of Notification and Work Order transactions.
- Excellent organisational and time management skills with the ability to manage multiple tasks and deadlines effectively.
- Strong project management and coordination skills.
- Exceptional communication and interpersonal skills with the ability to build and maintain effective relationships.
- Strong problem-solving skills and the ability to contribute to process improvements.
- The ability to work both independently and as part of a collaborative team.
While not essential, experience in the following would be highly regarded:
- Experience within the arboriculture or related industry.
