The APS5 Events Coordinator plays a key role in supporting the delivery of high-quality events, including face-to-face, virtual, and hybrid formats. This position requires effective coordination and logistical management while ensuring accessibility needs are met throughout the event lifecycle, from planning to post-event evaluation. The role involves collaborating with various internal and external stakeholders, providing logistical support, and ensuring the successful delivery of events that align with organisational objectives.
Key Responsibilities:
Event Coordination Support:
Assist the Event Lead in the planning, coordination, and execution of a wide range of events. Ensure accessibility requirements are met throughout the event lifecycle—from planning to delivery and post-event evaluation.
Logistical Management:
Provide logistical management and expert advice to ensure seamless delivery of events. Ensure all logistical needs are met, including the provision of on-site support for external forums, stakeholder engagement activities, and national events.

Engage with both internal and external stakeholders to facilitate successful event execution. This includes advising on event coordination, logistical requirements, and resolving complex inquiries in a professional and timely manner.
Brief Preparation:
Prepare high-level event briefs for senior stakeholders, ensuring all relevant information, objectives, and protocols are outlined clearly for event attendees and speakers.
Multi-tasking and Time Management:
Manage and support multiple events simultaneously, prioritizing tasks and adhering to tight deadlines while maintaining a high standard of work.
Activity Tracking & Reporting:
Track and report on internal and external event activities. Provide regular updates and performance reports on event-related activities, ensuring that progress and outcomes align with strategic goals.
Budget & Financial Management:
Track and manage event budgets, ensuring that financial records are kept accurately and that events are delivered within allocated financial resources. Report any variances and assist with cost-saving strategies where applicable.
Enquiry Management:
Manage and respond to inquiries from the shared inbox. Allocate responses appropriately, providing timely and accurate information to stakeholders regarding event details and logistical support.
Continuous Improvement:
Contribute to the continuous improvement of event processes and delivery. Assist in identifying efficiencies and best practices for future events, ensuring a high level of participant satisfaction and operational success.
Key Capabilities & Skills:
Communication Skills:
Excellent verbal and written communication skills, with the ability to provide clear, concise advice to stakeholders at all levels. Able to prepare detailed reports, event briefs, and documentation for senior management.
Event Coordination & Logistical Management:
Proven ability to coordinate and manage multiple events with varying complexities. Understanding of logistical processes for both in-person and virtual events, ensuring smooth delivery and accessibility.
Stakeholder Engagement:
Ability to work collaboratively with a wide range of internal and external stakeholders. Skilled in building strong relationships and resolving complex inquiries effectively.
Problem-Solving Skills:
Strong analytical and problem-solving abilities. Capable of making decisions when options are not always evident, using available information to resolve issues in a timely manner.
Organisational & Time Management:
Strong organizational skills and the ability to manage multiple tasks and priorities with minimal supervision. Able to work under pressure and meet deadlines in a fast-paced environment.
Financial Management:
Experience with managing budgets, tracking expenses, and maintaining accurate financial records. Knowledge of financial processes in an event or project setting.
Attention to Detail:
A high level of attention to detail, particularly in relation to event planning, logistical coordination, and ensuring accessibility and inclusion for all participants.
Qualifications & Experience:
Relevant Experience:
Experience in event coordination or project management is highly desirable. Prior experience working in a government or large organizational context is beneficial.
Education/Training:
Tertiary qualifications in event management, communications, or a related field are advantageous, though not mandatory. Demonstrated experience and competency may be considered in place of formal qualifications.
Technical Skills:
Familiarity with event management software and tools. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with virtual event platforms and hybrid event technology is an asset.
