Key Responsibilities:
Project Management and Reporting:
- Develop and manage project documentation (project plans, status reports, and milestones) to track progress and provide updates to senior management and stakeholders.
- Communicate project milestones to the team and stakeholders in a timely manner, ensuring updates on status, timelines, and required actions.
- Monitor project timelines and adjust as needed to ensure deadlines are met.
- Prepare briefings and correspondence for senior officers and stakeholders, keeping them informed on project progress and key information.
Communication to Staff and Stakeholders:
- Create and implement a communication strategy to ensure all staff (permanent and contract) are informed about ICT changes.
- Coordinate and schedule communications to 10,000 staff, determining who needs to be informed, when, and through which channels.
- Develop clear communication materials (emails, newsletters, presentations) to explain changes and their impact.
- Collaborate with leadership and teams to ensure consistent messaging and timely communication.
Risk Management:
- Identify and manage project risks during the change and implementation phases, addressing issues promptly.
- Maintain a risk and decision register, documenting risks and mitigation strategies, and providing regular updates on resolutions.
User Acceptance Testing (UAT):
- Coordinate UAT activities, ensuring that changes are thoroughly tested by business users.
- Review UAT results and make adjustments before the system goes live, keeping stakeholders informed about significant changes.
Training and Support for Staff:
- Develop and deliver training materials and user guides to ensure that all internal users understand new application functionality.
- Coordinate and facilitate training sessions for business users, ensuring staff are prepared for new systems and any changes to existing processes.
- Provide ongoing training support to help staff navigate new systems and adapt to changes.
Change Management:
- Implement change management strategies to support the adoption of new systems, processes, and technologies, ensuring a smooth transition.
- Provide clear and consistent messaging regarding the impact of changes and assist staff through the transition to new ICT systems.
Key Selection Criteria:
Project Management Experience:
- Proven experience managing ICT projects, including developing project plans, coordinating milestones, and reporting progress to senior management.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
Effective Communication Skills:
- Experience in communicating changes to staff, particularly related to ICT systems or business transitions.
- Ability to tailor messages to different audiences and ensure communication is clear and engaging.
- Strong writing skills for producing clear, concise communication materials (emails, reports, presentations).
Stakeholder Engagement:
- Ability to work with a range of internal and external stakeholders, including senior management, project teams, and staff at all levels.
- Strong interpersonal skills to build positive relationships and promote collaboration.
Training and Support:
- Experience in developing training materials and facilitating sessions to support staff adoption of new systems and processes.
- Ability to provide ongoing support for staff in adapting to new ICT systems.
Risk Management and Problem Solving:
- Experience in identifying risks associated with project changes and developing effective mitigation strategies.
- Strong problem-solving skills to address challenges throughout the project lifecycle.
Desirable Qualifications:
- Tertiary qualifications in Project Management, Change Management, Business Analysis, or a related field.
- Experience with large-scale ICT change projects in organizations.
- Familiarity with agile project management methodologies.
